By: Kathy Kent Toney, Chief Advisor, AI & Advanced Systems at Kent Solutions There’s something a little bittersweet about writing a final blog post. When I started blogging in May 2019, I didn’t fully know where it would lead. I simply knew I had things I wanted to share — ideas about business, customer relationships, better systems, and practical improvements that help people work smarter and serve others well. Over time, this blog became a place for me to share what I was learning and what I was seeing in the real world. It became a place to talk about CRMs, automation, follow-up, AI, workflow improvements, and the very human side of running a business well. And for that, I’m deeply grateful. If you’ve spent time here reading what I’ve written over the years, thank you. Truly. I never take it lightly when someone gives their time and attention to something I’ve created. There are always a hundred other things competing for that attention, and I’ve always appreciated the people who chose to spend even a few minutes here. This blog has been an important part of my journey. It gave me a place to think out loud, test ideas, share what was working, and, hopefully, encourage business owners and leaders who were trying to build something meaningful without drowning in manual work, missed follow-ups, or disconnected systems. But sometimes growth means more than just adding new things. Sometimes it means getting clearer about where different kinds of content belong. That’s where I am now. My work has expanded, but one thing has not changed: I still care deeply about helping people simplify operations, improve follow-up, make better decisions, and use technology in ways that feel practical, thoughtful, and genuinely helpful. Going forward, I’ll be continuing that work through two distinct publications. If you’re looking for practical small business guidance — including automation, follow-up, CRM use, and ways to make your business run more smoothly without losing the human touch — the SMB Automation Brief is the best place to stay connected. If you’re more interested in broader leadership and technology topics — including emerging technology, execution, risk, and business value — the Enterprise Technology Leadership Brief will be the better fit. Both are designed to provide focused, useful content for different needs, and you can choose the one that fits you best using the buttons below. So while this blog is coming to a close, the work itself is not going away. It’s simply moving into clearer, more intentional homes. Thank you again for being part of this chapter. Thank you for reading. Thank you for supporting my work. Thank you for allowing my words a place to land. I’m grateful for the journey, and I hope you’ll stay connected for what comes next. Please choose your selection below to keep my content coming your way!

While they boast bigger budgets and teams of specialists, you’re the one multitasking, wearing every hat, and hustling before most people have had their coffee. Does David squaring off against Goliath come to mind? But here’s the exciting shift: AI has rewritten the rules for what “small” can achieve. By: Kathy Kent Toney, Chief Technology Strategist at Kent Solutions Running a business today means juggling a lot: constant email, shifting priorities, and customers who expect fast, personalized responses. In the middle of all that, AI has quietly gone from “interesting experiment” to everyday business tool. It’s now powering everything from inbox triage to customer support—and most people don’t even realize it’s there. The good news? You don’t have to be a tech expert—or even particularly curious about AI—to benefit. You need to start using it on purpose. As AI becomes more common in tools you already use, the gap will grow between businesses that experiment with it and those that don’t. Let’s look at where AI is heading and how you can put it to work in ways that actually support your day-to-day operations. Why Modern Business Leaders Can’t Ignore AI AI is transforming every industry, from manufacturing to professional services. It’s not just a trend; it’s a revolution. The competitive advantages are clear: increased efficiency, significant cost savings, and improved decision-making. Plus, with AI becoming more accessible and user-friendly, you don’t need a coding background to take advantage of it. This accessibility empowers business leaders, making AI adoption a feasible and rewarding endeavor. Key AI Shifts Reshaping the Future of Work Generative AI and Always-On Chat Assistants Generative AI, including chatbots, is revolutionizing customer interactions. These AI-powered assistants handle inquiries 24/7, providing instant responses and freeing up your team. Chatbots enhance customer satisfaction and loyalty by improving response times and personalizing interactions. Intelligent Automation Across Your Business AI-powered automation eliminates repetitive tasks in marketing, sales, and operations. This aspect saves time and reduces human error, allowing your team to concentrate on strategic thinking and creative problem-solving. With automation, businesses can scale operations without a proportional increase in labor costs. Looking Ahead with Predictive Analytics Predictive analytics uses historical data to forecast future outcomes. By analyzing trends, businesses can anticipate customer needs and market shifts. This capability leads to informed decision-making and proactive responses, helping companies stay ahead of competitors. Smarter Personalization at Scale AI enhances personalization by analyzing customer behavior and preferences, allowing businesses to tailor marketing efforts, from personalized emails to targeted product recommendations. Such customization boosts customer satisfaction and retention rates. Common AI Misconceptions (and What’s Actually True) Myth: AI is only for big corporations. Truth: AI tools are now affordable and scalable for small businesses. Myth: AI will replace human jobs. Truth: AI enhances human work by automating repetitive tasks so that teams can focus on strategy. Myth: AI is too complicated to implement. Truth: Many AI tools integrate seamlessly with the software you already use. Practical Ways to Begin Using AI—Without the Overwhelm Start small! Automate one key process, like email marketing or lead follow-up, and choose AI tools that integrate with your existing systems. Upskill your team to boost their confidence in using these tools. This approach makes AI adoption less daunting and more manageable, helping leaders stay ahead of the game. # # # Would you like some help getting started? By: Kathy Kent Toney, CEO & Founder, Kent Solutions When most people hear “chatbot,” they think of a little pop-up box in the corner of a website—something that answers a few preset questions and then hands you off to a human. Useful? Sometimes. Intelligent? Not really. AI agents are a different story. While chatbots operate based on scripts and decision trees, AI agents think, adapt, and act based on goals, inputs, and changing contexts. They don’t just respond—they interpret, decide, and take action. Instead of asking the same question three different ways to get the correct answer, users interact with an AI agent that understands intent, context, and the next best step. Let’s break it down even further. Chatbots are:
In contrast, AI agents are:
For instance, a chatbot might respond to a query about availability with a link to your calendar. An AI agent, on the other hand, would not just provide a link but also check your availability, suggest the best times, book the meeting, and send a confirmation email—all without additional prompts. This level of convenience and capability sets AI agents apart, making them a powerful tool for any business. AI agents reduce manual work, increase consistency, and scale personalized engagement in a way chatbots never could. They serve as intelligent extensions of your team, automating processes that previously required human involvement—without sacrificing quality or responsiveness. You can tailor AI agents to fit your business needs, whether you work in marketing, operations, or customer service. And with today’s low-code platforms, which are software development platforms that allow you to build applications with minimal hand-coding, you don’t need a tech team to get started. # # # One thing I love doing is creating freebies for anyone who reads my blogs and posts.
